Examples of meeting and conference venue hire at ARU

Our event co-ordinators are here to help you find the right space for your meeting, conference or event, and make it run smoothly.

Chosen by NHS organisations, councils, charities and businesses for professional events, we hosted 1,725 events across our campuses in 2025/26 - here are just a few examples of the kinds of events hosted here, and the booking process.

A local business contacts our team looking for a space to host a strategy day for 25 colleagues.

We begin by discussing the event requirements, including preferred dates, attendee numbers, room layout, AV requirements and catering options. This also gives us an opportunity to understand the purpose and format of the event and answer any questions about our venues.

Where helpful, we can arrange a site visit so organisers can view the space and discuss their plans in more detail.

Once availability has been confirmed, we provide a quotation and hire agreement. Following confirmation, our team remains on hand to support the planning process.

Approximately two weeks before the event, we get in touch to confirm final attendance numbers, room layouts, catering requirements and any last-minute details. On the day, delegates arrive to a fully prepared meeting room, ready for a productive day of discussion and collaboration.

A faith group contacts us to discuss hosting a worship event and community gathering for around 120 attendees.

We begin by discussing the event programme, expected attendance, guest speakers, room setup and any technical requirements. As a university, we have a statutory duty to protect and promote freedom of speech, so we may ask for additional information about the event and any guest speakers to ensure the appropriate arrangements are in place and all requirements are met.

An organiser gets in touch looking for a venue for a one-day conference for 150 delegates, including keynote speakers, breakout sessions and networking opportunities.

We start by discussing the event programme, speakers, audience, catering and technical requirements. This helps us identify the most suitable spaces and ensure we understand the event's needs from the outset.

Many organisers choose to visit the venue before booking, giving them the opportunity to view the spaces, discuss room layouts and explore the facilities available.

Once availability has been checked, we provide a quotation and hire agreement. Our team then works closely with the organiser to support the planning process.

Around two weeks before the event, we confirm delegate numbers, catering requirements, room layouts and any final arrangements. On the day, delegates enjoy a seamless experience from arrival through to the final session.
